1. About this policy
SPRED EVENTS LLP (UEN T26LL0881G) ("SPRED", "we", "us", "our") respects your privacy. This Privacy Policy explains how we collect, use, disclose and protect your personal data in line with Singapore's Personal Data Protection Act 2012 ("PDPA").
It applies when you visit spredevents.com (including quote.spredevents.com), use our payment pages at pay.spredevents.com, contact us, or book an event with us.
2. Personal data we collect
- When you enquire: your name, company, job role, email address, phone number, and details of your event such as the type of event, date, number of guests, budget and your message.
- When you book and pay: your billing name, company and email address, and details of your invoices and payments (amount, date, payment method and payment reference).
- Card and wallet payments: these are entered directly with our payment provider, Airwallex. We do not see or store your full card number.
- When you agree to our Terms on a payment page: the date and time, your IP address and the version of the Terms you agreed to, kept as a record of your agreement.
- How you found us: the page you came from and any advertising campaign tags in the link you used (for example utm, gclid or fbclid), sent together with your enquiry.
- Our conversations with you: messages you send us by email, phone or WhatsApp.
- At events: photos and videos, as described in section 7.
3. How we use your personal data
- To respond to your enquiry and prepare proposals and quotations.
- To plan and deliver your event, including coordinating with venues and vendors.
- To issue invoices and receipts, process payments, and keep accounting and tax records.
- To send you updates about your booking and provide customer service.
- To understand which of our marketing brings enquiries, so we can improve it.
- If you have agreed to receive them, to send you occasional marketing emails about event ideas and offers (see section 4).
- To comply with our legal and regulatory obligations.
4. Your consent
By submitting an enquiry, booking with us, or agreeing to our Terms on a payment page, you consent to us collecting, using and disclosing your personal data for the purposes in this policy.
We only send you marketing emails if you have agreed to receive them, for example by ticking the box on our enquiry form. Every marketing email has an unsubscribe link, and you can also ask us to stop at any time.
You may withdraw your consent at any time by unsubscribing or contacting us (see section 13). We will then stop using your personal data for those purposes, although this may mean we can no longer provide some of our services. Withdrawing consent does not affect records we must keep by law.
5. Who we share your personal data with
We do not sell your personal data. We share it only where needed, with:
- Event vendors and suppliers working on your event (for example the venue or caterer), and only the details they need.
- Service providers who help us run our business: Airwallex (online payments), Google Workspace (email, documents and file storage), Cloudflare (website hosting and security), FormSubmit (delivering website enquiries to our inbox) and WhatsApp (if you choose to message us there).
- Professional advisers such as our accountants and lawyers, under a duty of confidentiality.
- Authorities, where the law requires it.
6. Transfers outside Singapore
Some of our service providers store or process data outside Singapore. When this happens, we take steps to make sure your personal data receives a standard of protection comparable to the PDPA.
7. Photos and videos at events
By booking an event with us, you agree that we and our appointed photographers and videographers may take photos and videos at your event, and use them in our portfolio, marketing and social media. If you would prefer us not to, please tell us in writing before the event, as set out in our Terms & Conditions.
As the organiser of the event, please let your guests know that photos and videos may be taken, for example in your event invitation or with a notice at the venue.
8. Cookies
Our website does not use advertising or analytics cookies. Our payment provider may use cookies that are needed to process your payment securely.
9. How long we keep your personal data
We keep your personal data only for as long as we need it for the purposes in this policy, or for legal or business purposes. For example:
- Client, booking, invoice and payment records: at least 5 years, as required for accounting and tax purposes.
- Enquiry and marketing details: until you unsubscribe or ask us to delete them.
- Photos and videos in our portfolio: for as long as we use them.
When we no longer need your personal data, we delete it or make it anonymous.
10. How we protect your personal data
We use reasonable security measures, including encrypted connections (HTTPS), password-protected systems, and limiting access to the people who need it to do their work. No method of storing or sending data is completely secure, but we work to protect your personal data and to act quickly if anything goes wrong.
11. Accessing and correcting your personal data
You may ask us for a copy of the personal data we hold about you, how it has been used or disclosed in the past year, or to correct it if it is wrong. We will respond within 30 days. We may charge a reasonable fee for access requests, and will tell you the fee before we proceed.
12. Changes to this policy
We may update this Privacy Policy from time to time. The latest version will always be on this page, with the date it was last updated.
